Host & Stay at Allerthorpe Golf & Country Park
1. About this Agreement
When you book your stay at Allerthorpe Golf & Country Park, your booking is made with Host & Stay, who act as the holiday letting agency on behalf of property owners. We manage guest bookings in partnership with Allerthorpe Golf & Country Park to ensure a smooth experience from reservation through to check-out.
By confirming your booking, you enter into a contract with Host & Stay and agree to the following Terms & Conditions. Please read them carefully as they outline both your rights and responsibilities during your stay.

2. Booking Your Stay
Your booking is confirmed once Host & Stay issues written confirmation by email. This confirmation forms the contract between you and Host & Stay.
The lead guest must be aged 18 or over and accepts responsibility for all members of the booking party.
Full payment is required at the time of booking unless otherwise stated. If a deposit has been paid, the remaining balance will be due no later than 28 days before arrival.
If payment is not received by the due date, Host & Stay reserves the right to cancel the booking and retain any payments made.
Please ensure that all information provided during booking is accurate, including the names and ages of all guests staying in the property.
3. Prices and Payments
All prices are quoted in GBP and include VAT where applicable.
Prices may change from time to time, but the rate confirmed at the time of booking will not alter once your booking is confirmed.
Promotional offers or discount codes must be applied at the time of booking and cannot be added retrospectively.
4. Accidental Damage Waiver
We may give you the option to purchase an Accidental Damage Waiver in relation to your booking. In return for a non-refundable fee, the Accidental Damage Waiver covers the cost of making good any loss or damage to the selected property and/or its contents caused through an accidental act or omission of you the Guest (or any of your accompanying guests) up to the stated amount.
Where any Property Damage caused exceeds the Accidental Damage Waiver stated amount, as per our Guest Agreement, you agree to pay Host and Stay Management Limited, upon written demand, any reasonable costs incurred in making good any such loss or damage.
If Accidental Property Damage does occur during your stay, you must notify us prior to your scheduled departure date and time. Please notify us via phone (01287 658171), or via email to info@hostandstay.co.uk with information relating to the incident.
Failure to notify us of the accidental damage occurrence prior to your departure will lead to the damage being treated as malicious, and you will therefore be liable for the full cost of the damage.
We have the right to retain funds up to the value of £500 if malicious damage occurs during your stay as part of compensation for Property Damage. No further notice is required in order to retain these funds, although we will in all cases retain appropriate evidence in relation to the Property Damage. Our team will then contact you to agree a satisfactory resolution.
Criminal, malicious or wilful damage, and damage caused by pets, will not be covered by the Accidental Damage Waiver.

5. Security Deposit
If you choose not to purchase our damage waiver prior to your stay, a refundable security deposit of £200 will be pre-authorised via Charge Automation before your stay. This covers potential damage, missing items, or extra cleaning required after departure.
Deductions may be made for:
Damage to the lodge, contents, or hot tub
Unauthorised late check-out (£10 for every 30 minutes beyond 10am without prior agreement)
Additional cleaning required beyond standard housekeeping
Misuse or damage to outdoor areas such as grass or decking
Photographic evidence will be provided for any deductions made. The pre-authorisation will automatically release within 10 working days after check-out once the property has been inspected.
6. Arrival and Departure
Check-in is available from 4pm on your arrival date. During peak times, slight delays may occur while lodges are prepared.
If you expect to arrive after 5pm, please notify reservations@prestigeholidaylodges.com or call 01759 306686 in advance to arrange contactless check-in.
Check-out is by 10am on your departure day unless a late check-out has been pre-arranged. A late check-out until 12pm may be available for an additional £24, subject to availability.
Keys must be returned to the lodge lock box upon departure.
Please leave your lodge tidy, remove all rubbish, and empty the fridge.
7. Hot Tub Use
For your comfort and safety, please follow the below rules when using your hot tub:
Shower before entering and wear appropriate swimwear.
Do not use the hot tub under the influence of alcohol, after a heavy meal, or if pregnant or unwell without medical advice.
Children under 5 are not permitted in the hot tub, and all children must be supervised by an adult.
Do not exceed 15 minutes of immersion at one time.
Do not remove the chlorine dispenser, exceed the maximum occupancy, or enter if the water temperature exceeds 40°C.
Replace the lid after use and never sit or lie on it.
No glassware is permitted in or around the hot tub area.
If misuse results in the hot tub requiring draining or additional cleaning, a charge may be deducted from your deposit (typically £50–£75). Hot tubs are used entirely at your own risk.
8. Pets
A maximum of two dogs are permitted per lodge unless otherwise agreed in advance.
Dogs must be kept on a lead in public areas and are not permitted on furniture or beds.
You must clean up after your pet.
A pet fee of £42 per pet applies.
If pets are found in non-pet-friendly lodges, a deep-cleaning charge will be applied.
Dangerous dog breeds listed under the Dangerous Dogs Act are not permitted.
Registered assistance dogs are welcome free of charge with appropriate supporting documentation.
9. During Your Stay
Noise and Conduct: Please respect quiet hours between 10pm and 7am. Excessive noise, disruptive behaviour, or illegal activity may result in removal from the park without refund.
Smoking: Smoking and vaping are not permitted inside lodges. A deep-cleaning fee will apply if evidence of smoking is found.
Barbecues: Open flames and barbecues are not permitted anywhere on site.
Children: Children must be supervised at all times by a responsible adult.
Personal Belongings: Host & Stay and Prestige Holiday Lodges accept no liability for loss or damage to personal possessions during your stay.
Vehicles: Each lodge allows parking for one vehicle beside it. Additional cars may use the main car park, subject to availability.
EVs must only be charged using designated points where available. Using lodge power supplies for vehicle charging will incur a £25 daily charge.
Maintenance Access: Staff may need to access your accommodation for maintenance or emergencies.
10. Group Bookings and Visitors
Allerthorpe Golf & Country Park is a peaceful, family-friendly location.
Stag, hen, or party groups are not permitted.
All visitors must be registered in advance.
If unregistered guests stay overnight, Host & Stay reserves the right to terminate the booking without refund.
11. Cancellations and Amendments
By You:
The £150 booking deposit is non-refundable.
Cancellations made more than 28 days before arrival will forfeit only the deposit.
Cancellations made within 28 days of arrival are non-refundable. However, date changes may be permitted if the full balance has been paid, subject to availability and any price difference.
By Us:
In rare cases where Host & Stay or Prestige Holiday Lodges must cancel a booking (e.g., due to maintenance or unforeseen circumstances), you will receive a full refund or be offered alternative accommodation where possible.
12. Feedback and Complaints
We aim to provide the highest standard of service and accommodation.
If something isn’t right, please give us the opportunity to resolve it promptly.

During your stay: speak to the on-site team or contact the main office on 01759 306686.
After departure: if you remain dissatisfied, please email stay@hostandstay.co.uk within 14 days of returning home.
We will always do our best to put things right quickly.
13. Liability
Host & Stay and Prestige Holiday Lodges are not liable for:
Loss or damage to personal property or vehicles
Injury caused through misuse of facilities
Failure or interruption of utilities outside our control
You are responsible for your own safety and that of your guests during your stay.
14. Events Beyond Our Control
Neither Host & Stay nor Prestige Holiday Lodges shall be held responsible for events outside our reasonable control, including but not limited to extreme weather, power outages, pandemics, industrial action, or other unforeseen circumstances that may affect your stay.
15. Changes to These Terms
Host & Stay may update these Terms & Conditions periodically. The most recent version will always be available at hostandstay.co.uk/terms-conditions.
